ABOUT THIS POSITION

The Facilities Manager is key member of the Construction Management Team, a division of the Real Estate Services Department. The Facilities Manager works closely with the Construction Manager to oversee the physical condition of all managed properties and implement the repair and maintenance program. The Facilities Manager serves the Real Estate Managers, clients, and other internal and external constituents by anticipating, identifying, and addressing facilities maintenance and repair needs. In order to achieve optimal success, the Facilities Manager must possess extensive experience in building system maintenance and repair, a strong technical foundation in the broad array of systems present in commercial buildings, and an aptitude for developing and implementing systems for the consistent maintenance of a portfolio of approximately 150 commercial and multi-family properties. Excellent communication and collaboration are essential, both with partners inside the office and with clients, vendors, and others outside of NAI Elliott. An ability to work well under pressure and with grace when under fire will make this a far more enjoyable and successful job. EDUCATION, EXPERIENCE, TRAINING/SKILLS REQUIRED:

Bachelor’s degree in construction management, architecture, engineering, business or equivalent to appropriate four-year college program required.

Five or more year’s project management or facilities management experience or any similar combination of education and experience required. Experience simultaneously managing multiple projects in different physical locations is a must.

Must be detail-oriented, analytical, and computer literate with proven leadership skills.

Extensive experience with and understanding of the methods, materials, tools and equipment used in building, paving, landscaping, concrete, mechanical and electrical repair and construction activities.

Knowledge of policies, practices, codes, and industry standards relating to construction and maintenance programs and the ability to research those items as they relate to projects and individual tenant lease agreements.

Skill in reading and interpreting blueprints, electrical schematics, architectural, and engineering drawings.

Excellent interpersonal skills, problem solving abilities, analytical skills and capable of effectively handling multiple tasks under pressure.

Proven record of providing excellent internal and external customer service.

Professional level verbal and written communication skills.

Ability to effectively plan and schedule work.

Ability to maintain accurate and precise reports and records.

Needs to possess a positive outlook with ability to stay organized and efficient under pressure.

Experience with Windows, Word, Excel, InDesign, and Acrobat.

Experience with a CMMS / Work Order system, Building Engines preferred.

Knowledge of principles of project cost accounting.

Must have excellent problem solving skills, analytical skills and be capable of handling multiple tasks.

Needs to possess a positive outlook with ability to stay organized and efficient under pressure.

Ability and willingness to work long hours or be out of town overnight on an occasional basis.

Ability to grasp and lift objects weigh up to 10 pounds on a daily basis.

Ability to walk, climb, kneel, lift, crawl, squat, bend, and other physical actions to perform field-related activities.

LICENSE/CERTIFICATION REQUIRED

ESSENTIAL FUNCTIONS/TASKS

Work with the Director of Real Estate Management, the Construction Manager, and Real Estate Managers to maintain and increase the value of all properties by helping to create a comprehensive repair and improvement plans.

Oversee and implement the facilities maintenance and repair of all managed properties in accordance with Real Estate Manager direction, property budgets, and client goals.

Lead the facilities management team as assigned by project or based on type of work.

Oversee the Work Order system, ensuring its development, consistent use, and accuracy.

Analyze company projects by type, vendor, client, and other categories to determine and implement time, cost, and quality improvements and efficiencies.

Establish scope of and budget for work through estimating; establish and communicate practical project timelines.

Ensure all parties understand the project scope previous to start of design and review scope with Real Estate Manager for consistency with client and property goals.

Proactively provide project updates to Real Estate Manager and other stakeholders.

Establish purchasing procedures for consultants, contractors, etc., and negotiate and prepare appropriate agreements for all parties necessary in the completion of the work, including bid packages and contract documents.

Implement the company’s useful life analysis for each managed property.

Prepare weekly or monthly reports for assigned properties and other reports that may be required.

Assist in preparation of annual budgets and business plan for properties.

Ensure invoices are received for conformance with documentation requirements and the completion status, and processed in a timely manner.

Ensure project documentation is accurate and coordinated.

Maintain orderly and standardized project files.

To facilitate good communication and meet other job requirements, the manager shall be required to use a cell phone at all times to respond promptly to emergencies or for other vital communications, except when prior arrangements have been made and approved for vacations or other time off.

Specific duties will vary from time to time and responsibilities may be added or removed at any time.
