Associates Degree in Business Administration, Engineering, or Construction/Facilities Management with 3-5 years of experience working in the building trades field. Will consider certifications, substantial experience, training and/or skills in lieu of education.

About This Position

The Project Coordinator provides support for construction projects under the supervision of the Construction Manager and takes the lead on project tasks as assigned. The Project Coordinator oversees cost, quality control, third-party personnel, and related areas to ensure that defined construction and facilities processes go smoothly and successfully.  The Project Coordinator must have excellent knowledge of the phases and specific needs of construction and facilities projects, be familiar with relevant local, state, and federal codes and laws, and possess the ability to communicate clearly with vendors, tenants, and clients regarding both areas.  The company relies heavily on a Computerized Maintenance Management System (CMMS) and the associated Work Order system.  As a result, experience with such systems and excellent organizational skills are essential to this job.

Education, Experience, Training/Skills Required

Associates Degree in Business Administration, Engineering, or Construction/Facilities Management with 3-5 years of experience working in the building trades field. Will consider certifications, substantial experience, training and/or skills in lieu of education.

Hands-on experience with: administrative work as it relates to client and contractor relations, customer relations, scheduling, bidding, contracts and financial matters involved with commercial real estate projects (industrial, office, retail, and/or residential) including building and grounds maintenance and repair, tenant improvements, and building construction.

General knowledge of the methods, materials, tools, and equipment used in building, paving, landscaping, concrete, mechanical and electrical maintenance, repair, and construction activities.

General knowledge of policies, practices, codes, and industry standards relating to construction and maintenance programs and the ability to research those items as they relate to projects and individual tenant lease agreements.

Skill in reading and interpreting blueprints, electrical schematics, architectural, and engineering drawings.

Knowledge of principles of project cost accounting.

Ability to plan and schedule work.

Ability to understand and carry out written and oral instructions.

Ability to maintain reports and records.

Must have excellent verbal and written communication skills.

Must have excellent problem solving skills, analytical skills and be capable of handling multiple tasks.

Needs to possess a positive outlook with ability to stay organized and efficient under pressure.

Ability and willingness to work long hours or be out of town overnight on an occasional basis.

Ability to grasp and lift objects weigh up to 10 pounds on a daily basis.

Ability to walk, climb, kneel, lift, crawl, squat, bend, and other physical actions to perform field-related activities.

Experience with Windows, Word, Excel, InDesign, and Acrobat.

Experience with a CMMS / Work Order system, Building Engines preferred.

License/Certification Required

Valid Driver’s License

Licensed, insured, and registered automobile

Construction and/or facilities management certification preferred

Essential Functions/Tasks

Arrange and participate in meetings to review or set up construction and facilities management projects.

Perform job progress and final acceptance walks to ensure project meets code and standards as described in the contract.

Manage project schedules and coordinate with vendors throughout all stages of a project.

Compare multiple proposals for scope accuracy and overall value and give recommendations.

Request insurance certificates and licensure documents from contractors.

Ensure contractor CCB license is active and commercial grade.

Create project folders and tracking files for related project documents

Create, distribute, and track standard NAI Elliott PSA & CSA Contracts in a timely and professional manner.

Coordinate project documents from inception to finish.

Review invoices and payment requests against open contracts.

Prepare and Request Lien waivers and maintain in project files.

Create and maintain the Useful Life Analysis for each managed property.

Assists the Construction Manager, Facilities Manager, and other members of the real estate management team to maintain and increase the value of properties by helping to create a comprehensive maintenance, repair and improvement plan for all properties.

Assists the Construction Manager and Facilities Manager in developing information for distribution, training programs, Maintenance and Operating Budgets, and Capital Budgets.

Assists to develop and maintain a tentative work program covering a minimum of the next three-month period. Will also assist to insure that proper actions are taken to develop, plan, estimate and order materials in this work plan such that schedules can be prepared, assigned and tracked.

Comprehend and retain directions and details and translate information onto a Work Order system such that they can be clearly understood and effectively implemented.

Prepares reports and accomplishes research relative to maintenance control.

Assists in performing materials research when required to determine product availability and cost and follows up on outstanding orders and long-lead items.

Monitors and compiles data on labor utilization by activity and prepares reports and analysis of data when requested.

Assists to prepare weekly or monthly reports for assigned properties and other reports that may be required.

Prepare and send Request for Proposals (RFP).

Specific duties will vary from time to time and responsibilities may be added or removed at any time.
